During a call
Start your call the usual way. Once you’re past the greetings, StageWhisper looks up what your team has on the topic of the call. After that, it checks again whenever a task, person, customer, project or date comes up that it hasn’t looked up yet. If ClickUp might already have the answer, such as who’s involved or where a task stands, StageWhisper looks it up before it suggests you ask. Each lookup checks ClickUp and the files attached to your playbook together. For each task a lookup finds, StageWhisper reads much more than the search result: the status, who it’s assigned to, the due date, the full description, its recent comments and the replies under the latest ones. For a doc, it reads its pages. For a file, it notes the name and the type. When a task links to a doc in its description or comments, StageWhisper reads that doc too, so later lookups can use it. On a task with a long discussion, StageWhisper puts the newest comments and replies first. So a reply from yesterday still reaches your insights, even when someone pasted a long meeting note into the same task last month. StageWhisper keeps an index of your ClickUp workspace on your computer. It covers the lists and docs your team worked on in the last 90 days, plus the docs that tasks in those lists link to. So if someone shared a few tasks with you, the meeting notes those tasks point to are in your index too, as long as ClickUp lets you open them. A linked doc stays in the index while a task there still links to it. StageWhisper builds the index once, right after you connect. If you quit before it’s done, it carries on the next time you open the app. During a call it leaves ClickUp to your lookups, so they don’t wait behind the index, and it picks up where it stopped once the call ends. After that first build, StageWhisper only checks ClickUp for changes when you click the refresh button. Everything a lookup reads goes into the same index, and every lookup searches it along with the files attached to your playbook. That way StageWhisper can find a decision buried in a long meeting note, even when the words of the question never appear in the task’s name. When the call turns to who handles the setup, it can find the line in last week’s notes that names the owner. An insight then uses the passages that fit best, each labeled with where it came from, such as a comment by Ana on 15 Oct. So instead of a general tip, an insight can tell you the renewal is due on October 20 and that Ana owns it. A lookup only uses passages with real content. A card with nothing but a name and a few facts, such as a task’s status and due date or a file’s name, never takes a passage’s place, and neither does a one-line reply like “works”. For an item like that, StageWhisper sends one short line instead, with its name and link, the list or folder it’s in, and its status, owner and due date when ClickUp has them. So an insight can still tell you who owns a task and when it’s due. You’ll still see the item in the Playbook tab. When the same text sits in two places, such as notes pasted into both a doc and a comment, StageWhisper uses it once. Reading takes a few seconds and happens in the background. A lookup waits up to about three seconds for it. If the reading isn’t done by then, the lookup goes ahead with what StageWhisper has read so far, plus that short line for each item it hasn’t read yet. Later lookups use everything it has read. When a new question comes up while ClickUp is still answering, StageWhisper answers it straight away from the index. It picks the passages that fit by comparing them with what was said on the call, along with the search phrase. If nothing in ClickUp matches the whole search, StageWhisper tries the words one at a time. That helps when your workspace is in a different language from the call. If ClickUp asks StageWhisper to slow down, StageWhisper waits as long as ClickUp asks and answers from the index in the meantime. Some ClickUp plans also cap how many requests ClickUp answers in a day, and building or refreshing the index counts toward that cap. Once StageWhisper reaches it, it stops asking ClickUp until the time ClickUp gives, even if you restart the app, and keeps answering from the index. If ClickUp is slow to answer, the call goes on without it, and StageWhisper can try that lookup again a little later. Items a lookup read from outside those lists and docs, and the docs those items link to, stay in the index until your next call starts.Refresh
Click the refresh button on the ClickUp card to bring in what changed in ClickUp since the last refresh. A ring around the button fills up as StageWhisper reads. You can’t refresh during a call. The button is dimmed until the call ends. If ClickUp asks StageWhisper to wait, the ring turns amber and empties as the wait runs out. Hover over the button to see the exact time it’s ready again. If a refresh was under way, StageWhisper finishes it by itself after the wait, so you don’t need to click again. If StageWhisper has to stop before it can bring in your workspace, for example because ClickUp shared no lists or docs with you, the refresh button turns amber with a full ring around it. Click it to try again. During a call it stays dimmed until the call ends. If ClickUp signed you out, the card asks you to reconnect instead.See what StageWhisper found
Open the Playbook tab during a call. As soon as StageWhisper finds something, a From your ClickUp list appears below your playbook. The newest finds sit at the top. Each row shows:- The name of the task, doc or file, with an icon for its kind.
- The status, with a dot in the color your team uses for it in ClickUp.
- Who owns it.
- The due date. It turns red once the date has passed and amber when it’s two days away or less. Items that are already done stay gray.
- The list or folder it lives in.
