Connect your calendar and StageWhisper reminds you before each call, so you have time to pick a playbook and hit Listen. Reminders arrive 5 minutes before the start time unless you choose another lead time.

Connect a calendar

Click the cog on the control bar to open Settings, then choose Calendar. Each calendar you can connect has its own card. If you’re new, the setup tour brings you here right after you save your first playbook. Click Not now to skip it. You can connect from Settings whenever you like.

Outlook

  1. Click Connect on the Outlook card. Microsoft’s sign-in page opens in your browser.
  2. Pick the account whose calendar you want.
  3. Microsoft asks whether StageWhisper can read your calendar. Click Accept.
  4. When the browser says Outlook calendar connected, switch back to StageWhisper. The card now shows the account you used.
StageWhisper asks to read your calendar, see your email address and stay signed in. It can’t change your events or read your mail.

When your organization has to approve it

A lot of companies only allow apps that IT has approved. In that case Microsoft shows an approval page instead of the usual prompt, and the Outlook card says Needs approval. Ask your IT admin to approve StageWhisper for calendar access. Once they have, click Try again. Blocked by your organization means your company’s sign-in rules stopped the connection, often because the computer isn’t one it manages. Your IT admin can tell you what’s allowed. If the card says Reconnect needed, your Microsoft sign-in expired or its access was removed. Click Reconnect and sign in again.

Google Calendar

Click Connect on the Google Calendar card, sign in with Google in your browser and allow calendar access.

Apple Calendar

Apple Calendar is only on Mac. Click Connect on the Apple Calendar card and give full calendar access when macOS asks. StageWhisper then sees the same calendars as the Calendar app on your Mac. If you said no to macOS earlier, the card says Needs full access. Click Open System Settings and turn StageWhisper on under Calendars.

Reminders

Reminders turn on when you connect your first calendar, and StageWhisper asks if it can send you notifications. If reminders were already on before it asked, it asks the next time you open StageWhisper. Five minutes before an event starts, a notification says Your call starts in 5 minutes and gives the event name. The control bar comes to the front at the same time and shows the call, how long until it starts and, when the event has a meeting link, a Join button. It stays there until 10 minutes after the call starts or until you close it, and Focus or Do Not Disturb can’t hide it. StageWhisper never starts a session for you. To get reminders earlier, open Settings > Calendar and change Reminder lead time to 10, 15 or 30 minutes. The switch at the top of that page turns reminders off and on. You won’t get reminders for all-day Outlook events, cancelled ones, or ones you declined.

Not getting reminders?

The Reminders row below your calendars tells you where things stand.
  • Reminders are off or Reminders are muted: click Turn on.
  • Notifications aren’t allowed yet: click Allow notifications, then choose Allow when your Mac asks.
  • Notifications are blocked: click Open notification settings and allow StageWhisper to send notifications. The message updates when you switch back to StageWhisper.
  • Reminders are on but nothing shows up: click Not seeing them? Check notification settings and make sure StageWhisper is allowed to send notifications.
On a Mac, that setting lives in System Settings > Notifications > StageWhisper. On Windows, go to Settings > System > Notifications, check that StageWhisper is on, and make sure Do not disturb is off.

Disconnect

Click Disconnect on the Outlook or Google Calendar card. StageWhisper deletes its sign-in for that calendar from your computer and stops reading it. To remove StageWhisper from your Microsoft account as well, open My Apps for a work or school account, or your Microsoft account app permissions for a personal one. For Apple Calendar, click Manage in System Settings and turn StageWhisper off under Calendars.

Your calendar stays on your computer

StageWhisper reads your calendar directly from Microsoft, Google or your Mac. Your events and sign-in details stay on your computer and never pass through StageWhisper’s servers. StageWhisper saves your Outlook and Google Calendar sign-ins encrypted on your computer. Your system’s keychain holds the key that unlocks them: Keychain on macOS, Credential Manager on Windows. If you close the keychain prompt without allowing access, your calendar stays connected, and StageWhisper asks again the next time it checks your calendar, at least a minute later.
